Position Description:

The Office Coordinator is accountable to manage the daily office needs, support all team members as required, manage team and client events and handle a variety of administrative and office management duties. The coordinator will have excellent customer service, attention to detail and organizational skills. The position will also identify key areas of improvement that lead to recommendations that will enable the office and the team to run more smoothly. The Coordinator must have both comprehensive understanding of team expectations and internal processes, as well as the ability to be proficient in Microsoft Office Suite of products.

Accountabilities:

  • Create and maintain a comprehensive process binder and contingency process -- outlining your accountable process, backup resources identified and trained, passwords, detailed process steps -- to enable others to step in and easily manage your process if you are unable
  • Welcoming clients and vendors; this person will be Interrupts first point of contact with visitors, and having an energetic, positive and professional representation is essential
  • Intermediate computer skills for spreadsheet, word processing, database management and other applications
  • Scheduling travel (i.e.; air, rental car, hotels, dinners)
  • Management of agency authored books; orders, processing and shipments and inventory
  • Managing events, timetables and budgets, Highrise, Interrupt Newsletter subscriptions
  • Member of Interrupt’s Culture Clan (culture building events), helping ideate and manage events
  • Daily Tasks; clean and maintain general office areas (includes managing trash and dishes); conference rooms, kitchens
  • Daily Audits; coke fridge and conference/kitchen(s) fridges, other beverages; restroom stocking and supplies
  • Weekly Audits; office supply inventory-purchasing/restocking; lighting needs throughout the office, hallways, conference rooms
  • Handle outgoing shipments and incoming mail, copies, scanning
  • Operate office equipment such as printers, copiers, and phone systems
  • Miscellaneous Team support; research, finance, project management
  • Support the company’s overall mission and follow all standards, policies, procedures and confidentiality guideline

  • Strong sense of accuracy, accountability and attention to detail
  • Ability to work within our culture and a team environment is essential
  • Strong communication skills, both written and verbal
  • Flexibility and temperament are critical to success, must be able to handle pressure, timetables and internal and client challenges well
  • Eagerness to learn new processes and software programs
  • Intermediate computer skills, experience with Microsoft office Suite of products a must
  • Ability to interact with people at all levels of an organization
  • Weekly local travel possible for errands and stock items, ability to navigate is required
  • Position may require prolonged sitting and/or standing
  • Position requires frequent lifting and bending with daily tasks
  • Position sometimes requires flexible hours for events and meeting preparation
  • Candidate must work in Sylvania, Ohio, with daily attendance on Interrupt premises
